Responsibilities

We are seeking a highly organized and efficient Department Support Assistant to join our dynamic team. As a Department Support Assistant, you will be crucial in providing administrative support and facilitating smooth operations within our department. If you have exceptional organizational skills, attention to detail, and a passion for supporting teams, this position may be a perfect fit for you.

  • Maintains staffing and other department records.
  • Initiates/updates/deletes personnel files for Supervisors as requested.
  • Tracks Leave of Absences.
  • Maintains turnover report (monthly).
  • Verify registry personnel (hours and unit worked).
  • Initiate calls and confirm registry staff personnel, as indicated or requested.
  • Directs inquiries and telephone calls to the appropriate department/individual.
  • Coordinates staffing for inpatient areas, using matrix guidelines and input from the Unit Supervisor/Director.
  • Demonstrates ability to interface with all departments to assist them with needed information.
  • Performs clerical functions for the department.
  • Supports the Nursing Director(s)/Shift Administrator(s)/Unit Supervisor(s) with routine procedures, such as filing, mail distribution, typing correspondence and other tasks as requested.

Qualifications

  • A minimum of six (6) months to one (1) year of varied clerical experience

High school education or equivalent

Special Skills:

  • Maintains confidentiality of issues as necessary.
  • Excellent communication skills and maintains effective public relations with departmental clientele.
  • Ability to be an effective team member.
  • A thorough knowledge of correct English usage, grammar, spelling, vocabulary and punctuation.
  • Good interpersonal skills.
  • Ability to use a variety of office equipment, FAX, telephones, copy machines, computer, typewriter, etc.
  • A thorough knowledge of department organization, policies and procedures as well as a general knowledge of the Medical Center's structure.
  • Establish and maintain clerical procedures and standards.
  • Work independently and perform a variety of assignments.
